Policy for Information & Communication Technology (ICT) Resources Maintenance
1. Institute Website Update

Any department/unit/section pages update request should be mailed to help.website@iitbhu.ac.in through the web convener, or head/coordinator/in-charge only.

For timely processing and to ensure compliance, requests must be sent as individual, directly addressed emails. If the requested update is not reflected on the website, please follow up directly with CCIS.

2. Resources for Events

Email accounts, public domain URLs/IPs, or hosted spaces provided for conferences, seminars, workshops, or other events will remain active for a period of 1 year from the date of issue.

For multi-year events, CCIS must be informed in advance to ensure continued access to the associated resources. If no such request is made, the accounts and resources will be permanently deleted upon expiry of the specified period.

3. NOC Compliance

It is mandatory to inform CCIS whenever a user leaves the Institute. This ensures that CCIS can properly release and reallocate the various IT resources associated with the user, such as:

  • Institute email account
  • Network credentials and access rights
  • Microsoft Office 365 subscription
  • Licensed software allocated to the user
  • Web resources and hosted services
  • Access to compute servers and cluster nodes
Retention Period: Upon termination, discontinuation, or withdrawal from the Institute, any associated resource(s) with the user will be deleted immediately. Any exceptions will be clearly specified in the relevant sections.
The Following authorities from the respective section should ensure that the NOC includes a clearance from CCIS:

DORD (Dean of Research & Development) Office Project Staff / Temporary Staff
   * The NOC shall include the alternate email address of the concerned employee, which will be published on the Institute website.

The Institute regularly reviews and updates its Web Resources Policy. The current version is effective since September 2025.
